Guidelines and Starting Points for Use of Generative AI tools

The Division of Information Technology (IT) supports the responsible use and experimentation with generative AI tools.

What and Why

The AI landscape is evolving rapidly, and while these tools present vast opportunities, they also come with many ethical considerations. ºÚÁϳԹÏÍø±¬ÍøÕ¾’s mission, values, and vision are the foundation of these guidelines, and the College’s commitment to environmental, intellectual, and equitable principles are reflected in our tool selection and usage recommendations.

Institutional Guidelines for the Use of Generative AI Tools

  • If you are considering using AI, these guidelines are shared to support AI understanding, experimentation, and use across the College.
  • Please note that guidelines specific to teaching and learning uses are the purview of ºÚÁϳԹÏÍø±¬ÍøÕ¾ faculty. Students are required to abide by faculty guidance for their courses.

Protect confidential data

In accordance with ºÚÁϳԹÏÍø±¬ÍøÕ¾’s (WISP), you should only enter information available to the general public into generative AI tools. Information shared with generative AI tools using default settings is not private and could expose proprietary or sensitive information to unauthorized parties. Exceptions to this requirement can only be made when using AI tools approved and explicitly documented by the Chief Information Officer (CIO) or the Chief Information Security Officer (CISO).

Review AI content carefully before publication

You are responsible for any content that you produce or publish that includes AI-generated material: AI-generated content can be inaccurate, misleading, or entirely fabricated (sometimes called “hallucinations”), and may contain copyrighted material.

Consider how AI impacts teaching and learning

  • Generative AI resources focused on learning and teaching can be found in the "s" organization in Canvas.
  • Faculty should be clear and explicit about their policies on generative AI with the students they are teaching and advising. Students are encouraged to ask their instructors for clarification about these policies as needed. Review the Academic Honor Code and faculty handbook for details.

There are AI tools currently available at ºÚÁϳԹÏÍø±¬ÍøÕ¾ that are free to access with your bowdoin.edu account.

Let us know if you have procured, are considering procuring, or have any questions about generative AI tools using our online form. It's important that tools procured on behalf of the College are reviewed by IT and have the appropriate privacy, accessibility, and security protections.  

Workshops and Self-paced Training

Adhere to the College’s policies, including those on academic integrity

  • Integrity is essential in creating an academic environment dedicated to the development of independent modes of learning, analysis, judgment, and expression.
  • Academic dishonesty, in or out of the classroom, is antithetical to the College’s institutional values and constitutes a violation of the Academic Honor Code.

Follow the data sharing practices and policies that were established by the Data Governance Committee

  • Consider the sensitivity of data by reviewing the Data Classification Policy. Sensitive data should be used with caution. Restricted data should not be used with AI tools.
  • Contact the person who stewards the data you are using or would like to use. If you are not sure who the data steward is, you may contact a member of the Data Governance Committee.

Be alert for AI-enabled phishing

Generative AI has made it easier for malicious actors to create sophisticated scams at a far greater scale. Continue to use safe computing best practices and report suspicious messages using the options outlined in the “” article.


Important Considerations

Environmental Impact

  • Energy and Water Consumption: AI models often require significant computational resources and more energy and natural resources to operate than other software and technical tools. Please consider the environmental impact of AI models and available alternatives before using these tools for work that can be accomplished in other ways. 
  • Resource Efficiency: Aim to use AI tools and services that prioritize more sustainable models and use renewable energy sources. 
  • Review ºÚÁϳԹÏÍø±¬ÍøÕ¾’s Environmental Mission Statement
    for additional information on the College’s values as they relate to sustainability and environmental stewardship.

Copyright and Intellectual Property

  • Ownership of AI-Generated Content
    Clarify who holds the rights to content generated by AI tools.
  • Respect for Original Work
    Ensure that output from AI tools do not infringe on existing copyright by generating content that closely replicates or derives from copyrighted materials without permission.
  • Attribution Requirements
    If AI-generated content is based on datasets or models using copyrighted materials, proper attribution or licensing agreements may be required.

Ethics

  • Transparency
    Make clear when AI tools are being used in content creation or decision-making processes to avoid misleading stakeholders or the public.
  • Bias and Fairness
    Monitor and mitigate biases in AI outputs, ensuring that content does not perpetuate harmful stereotypes or discriminatory practices.

Use of Images and Video

  • Image Ownership and Licensing
    Confirm that any images or videos generated by AI tools are free from copyright issues, or ensure proper licensing and permissions are obtained.
  • Manipulation of Visual Content
    Be cautious when using AI to generate or alter images and videos, especially in contexts where misrepresentation could occur (e.g., deepfakes or misleading visuals).
  • Respect for Privacy
    When using AI tools to generate or alter images/videos involving individuals, ensure that personal privacy is respected, and obtain consent where applicable.

Amplify

One generative AI tool called Amplify is a platform that allows community members to work with and across ChatGPT and other large language models (LLMs) in a more secure and controlled environment. It’s important to note that the LLMs in Amplify are operated in environments with which the College has contractual agreements. You may notice differences in functionality and responses.

About Amplify

  • Work with multiple LLMs through a single interface without having to use multiple individual accounts in each service.
  • Amplify is a more cost-effective approach to support wider use of these tools.
  • Amplify is an open-source generative AI platform developed with higher education uses in mind by faculty and staff at Vanderbilt University.
  • Choice of AI model providers (e.g. Anthropic Claude to OpenAI GPT-4 Turbo).
  • Build AI assistants to use and refine over time.
  • Integrate data within a more controlled environment (adhering to confidential data guidelines).

Apple Intelligence

Recently released by Apple, is another generative AI tool that is being added to the Mac operating system and therefore will be available to all ºÚÁϳԹÏÍø±¬ÍøÕ¾ students through their Digital Excellence Commitment (DExC) MacBooks.

Apple Intelligence for macOS includes

  • Writing tools - Summarize selected text with a tap, proofread your work, and find the right wording and tone.
  • Enhanced Siri – A smarter Siri with new capabilities using AI.
  • Image Playground – Create custom, AI-generated images using the Image Playground app.
  • Cleanup in Photos – Uses AI to cleanup or remove objects from photos.
  • Custom Memories in Photos – Describe what you’d like to create memories of, and Photos will use AI to generate a movie using related images from your Photos library.
  • Genmoji – Create custom emojis
  • Integration with ChatGPT – When Siri can’t answer a question, it will prompt you to ask ChatGPT.
  • Extreme privacy – Your data is never stored, your prompts are for you only, and the security is verifiable by third parties
