Workday Student Events

Throughout the 2024-2025 Academic Year, the Workday Student Project Team and our implementation partner Cognizant Solutions will host a variety of events for the community to learn more about Workday, ask questions, and see elements of the new system before it's live. Check back here frequently for updates about upcoming events! Past events will be cataloged at the bottom of this page for reference.

Instructor-Led Training On Campus, week of March 24th

Opportunities for specific audiences receive instructor-led Workday training on campus. Click the link above to view trainings and sign up for a class, either online or in person.

Workday Pop-Up Labs

Project Timeline

Fall 2024: Phase I of Workday Student

Polaris (Banner) will still be our primary official system for student information in Fall 2024, but in Phase I some elements will move into Workday, even though you won't use them or know they're there! Phase I will include:

  • Student Records for newly-admitted students,
  • Curriculum (Courses and Course Sections),
  • Academic Foundations (academic calendars),
  • Core systems setup (connection with other campus student systems—PyraMed, Canvas, Slate, CSGold and others.)

Spring - Summer 2025: Phase II of Workday Student

While spring 2025 work will continue to happen in Polaris (Banner), Workday will be the primary location for student information for activities relating to Fall 2025 and beyond, including:

  • Registration,
  • Advising,
  • Student Billing (Summer 2025),
  • Student Records

Workday will go live at ºÚÁϳԹÏÍø±¬ÍøÕ¾ on March 7th, 2025, about midway through Spring Semester, to be used for Fall 2025 activities like registration. However, we will continue to use Polaris throughout Spring Semester for everything related to the 24-25 Academic Year. So when should we use Polaris and when should we use Workday?  We're so glad you asked!
POLARIS When? WORKDAY
Polaris continues to be used for all academic tasks that are for Spring 2025, such as extended drop, Credit/D/F grading, ordering transcripts, comment cards, and faculty grading. March 7, 2025 Workday Student goes live; information is visible but will continue to be brought up to date. Students should now use Workday to update personal information or to change majors and minors.
If students plan to request transfer credit for the summer, they should still use the same Transfer Credit form to make the request. March 24, 2025

Onboarding (our new Enrollment Form) is available for students for them to:

  • Review and update contact and personal information
  • Add Friends and Family (emergency contacts, parents, and/or caregivers) and grant third-party access to view Student Finance (available in July) or academic information
  • Set privacy and communications preferences
  • Review and update payment elections
  • Complete payment agreement

Student financial statements and bills continue to be accessed through QuikPay.

 

Spring 2025 class information, late drop requests, grading, and graduation will still take place using Polaris and other familiar systems and processes.

March - April 2025

Students should visit their ºÚÁϳԹÏÍø±¬ÍøÕ¾ Hub in Workday to review their Fall 2025 registration day and time, and review their holds and make plans to resolve them before registration. 
Students should build at least one saved schedule, make a plan to meet with their advisor(s), and ensure that their advisor lifts their hold ahead of their registration day and time.

Advisors should review their Advisor Dashboard in Workday and review their advisees' records and saved schedules for Fall 2025.
After meeting with advisees, advisors should lift advising holds to ensure that the student can register on time.

 

Workday trainings and Open Labs will be held to provide guidance and support for the ºÚÁϳԹÏÍø±¬ÍøÕ¾ community as we prepare for our first registration (and beyond!) as a Workday campus.

April 7, 2025 Rising seniors register for Fall 2025 in Workday starting at 7am.

April 15, 2025 Rising sophomores register for Fall 2025 in Workday starting at 7am.
April 17, 2025 Registration and waitlisting pause in Workday.
May 1, 2025 Registration and waitlisting re-open in Workday.
Spring 2025 grading opens. May 7, 2025 Last day for Dec 2025 degree candidates to adjust majors, concentrations, and minors (aka Academic Programs).
Transcript production pauses for grading. May 19, 2025
Senior grades due for Spring 2025. May 20, 2025 Workday learns to love.
All other grades due for Spring 2025. May 27, 2025
Grades available for Spring 2025. May 30, 2025
Transcript production begins again. June 2, 2025
June 30, 2025 Transcript production begins in Workday.
July 2025 Student Billing transitions to Workday.

What does Workday Student mean for me?

As a faculty member, you will use Workday Student to enter and change final grades, find your course schedule, check enrollments, view class rosters, review advisees, find your classroom, and more.

As a student, you will use Workday Student to view your schedule and grades, access schedule planner, register for classes, add, drop, or swap classes, or pay your bill or request a refund.

As a staff member, you'll use Workday Student to find student information

As a parent or guardian of a ºÚÁϳԹÏÍø±¬ÍøÕ¾ student, you'll use Workday Student to view a student payment account and pay a bill.


Advantages of Workday Student

  • You can use the (the same Workday mobile app many already use for finance and employment) to view course schedules or register for courses.
  • Access common tasks (advising, registration, etc.) quickly, and even add your own shortcuts based on your individual needs.
  • Access data and reporting faster with less manual processes.
  • Workday is already the place where faculty, staff, and students go for student employment, hiring, finance, and payroll.

Where and How Can I Get Help?

There will be a variety of opportunities to learn how to do things in Workday Student. Here are just a few examples:

  • Guides for doing certain tasks in Workday Student will be available online.
  • Online and in-person training will be offered and posted here and in CampusGroups.
  • A glossary of Workday student terms will be shared.

Project Workstreams

Workstreams are teams of ºÚÁϳԹÏÍø±¬ÍøÕ¾ staff who are subject matter experts and focused on specific tasks in a respective area. They may work on technical things or business processes and all working towards the building and testing of ºÚÁϳԹÏÍø±¬ÍøÕ¾'s Workday student application.
